Our verdict

4.1out of 5

Microsoft Copilot is the most practical AI assistant for companies already paying for Microsoft 365, because it works directly on their mail, meetings and files with enterprise-grade data terms. Individuals can use the free app happily, but teams outside the Microsoft stack will usually get more value from ChatGPT or Gemini.

How this score works: the DevMixa score is research-based — we compare official pricing, features, documentation, support options, security and data policies, and public user feedback against other tools in the same category. It is not a hands-on test; tools we test ourselves are marked “Tested”.

What is Microsoft Copilot?

Microsoft Copilot is Microsoft's AI assistant, and in 2026 it lives in two places: a free consumer app at copilot.microsoft.com, and a paid work layer inside Word, Excel, PowerPoint, Outlook and Teams. If you are weighing Microsoft Copilot vs ChatGPT for work, the short answer is that Copilot wins when your company already runs on Microsoft 365, and ChatGPT wins when you want one flexible assistant that is not tied to an office suite. The rest of this review explains the plans, the Indian prices, the limits and the trade-offs, using Microsoft's own pricing pages and documentation as of October 2026.

What Microsoft Copilot is and who it is for

Copilot began life in February 2023 as Bing Chat, the chatbot inside Microsoft's search engine. Microsoft later renamed it and spread it across Windows, Edge, the Office apps and mobile. Today the brand covers several separate products, which is the main source of confusion for buyers:

  • Microsoft Copilot (consumer): the free chat app on web, Windows, macOS, Android and iOS, signed in with a personal Microsoft account.
  • Copilot in Microsoft 365 Personal, Family and Premium: the home plans, which add AI inside the Office apps with higher usage than free.
  • Microsoft 365 Copilot Chat: a secure chat included at no extra cost with eligible work and school Microsoft 365 licences.
  • Microsoft 365 Copilot: the paid business add-on that reads your emails, files, meetings and chats through Microsoft Graph.
  • Copilot Studio: a no-code builder for custom agents, billed on credits.

It suits Indian SMEs and enterprises that already pay for Microsoft 365, finance and operations teams who live in Excel, and anyone who spends half the day in Outlook and Teams. Solo creators on Google Workspace get far less from it, and so do developers who mainly want a coding assistant (that is GitHub Copilot, a different product).

What Copilot does inside Word, Excel, Outlook and Teams

Copilot in Word and Excel is the feature most teams pay for. In Word it drafts from a prompt or an existing file, rewrites sections and summarises long documents. In Excel it can explain formulas, add calculated columns, build charts and answer questions about a table in plain English. Copilot in Outlook summarises long threads and drafts replies; Microsoft lists it as included even with the no-cost Copilot Chat tier for work accounts, though the paid licence gets deeper inbox and calendar grounding.

Copilot agents are the newer layer. The Copilot Business add-on ships with pre-built Researcher, Analyst and Facilitator agents, and Copilot Studio lets you build your own agents grounded in company data. Copilot Notebooks collect project files, notes and links in one place so the assistant answers from that set rather than the whole web. On the consumer side, Copilot Vision lets the assistant look at what is on your screen or camera and talk you through it, and Copilot Voice handles spoken conversation.

On Windows, the Copilot key on Windows laptops (the dedicated key that sits where the right Ctrl or menu key used to be on many new machines) opens the app directly, and Windows 11 now lets you remap it to another app. There is also an opt-in "Hey Copilot" wake word.

Under the hood, Microsoft 365 Copilot routes each prompt automatically (Auto mode) or lets you choose Quick response or Think deeper. Model choice now covers both OpenAI and Anthropic: Microsoft's Tech Community blog announced GPT-6 Sol and Claude Opus 5.5 for Copilot in September 2026, and availability depends on your licence and region. Anthropic models are not switched on for every user by default, so ask your admin if you cannot see them.

Microsoft Copilot free limits

Is Copilot free? Yes, the consumer app costs nothing. With a Microsoft account you get chat, web answers with cited sources, image creation, voice and Vision. Microsoft does not publish a fixed message cap for the free tier. The India plans page only says that Personal and Family give usage above the free limits for chat, visual AI, AI audio and image creation, with Premium and Pro going higher still. Expect limits on every tier, including paid ones, even though none are spelled out in numbers.

The free app does not put Copilot inside desktop Word or Excel, and it cannot see your work email or files. For that you need a paid plan. Note also that Microsoft 365 Basic (the storage-only plan) includes no AI features at all.

Copilot Pro vs Microsoft 365 Copilot

Copilot Pro, the old $20 a month consumer add-on, is gone. Microsoft stopped selling it after launching Microsoft 365 Premium in October 2025, and its support page says remaining subscriptions were supported only until 1 August 2026. Premium bundles the Office apps, 2 TB of storage shared across up to six people (the pooled model applies to new and upgraded subscriptions from 8 October 2026) and much higher AI usage, including agentic AI for research and analysis. Only the monthly-only Microsoft 365 Pro plan sits above it. So the real comparison today is Microsoft 365 Premium (for individuals) against Microsoft 365 Copilot (for organisations).

The difference is data access, not raw chat quality. Premium works on files you open or upload, and its terms limit it to personal use. The business Microsoft 365 Copilot licence is grounded in your organisation's Microsoft Graph, so it can answer "what did the client agree to in last week's Teams call?" using meetings, mail and SharePoint files you already have permission to see. It also comes with admin controls, usage analytics and enterprise data protection. A freelancer can live with Premium. A 40-person agency sharing client files should buy the business version.

Microsoft 365 Copilot price per user in India

Microsoft's Indian pricing page lists these business prices per user per month, excluding GST:

PlanAnnual billingMonthly billing
Microsoft 365 Copilot Business (add-on)₹1,745₹2,094
Microsoft 365 Business Standard with Copilot₹1,955₹2,346
Microsoft 365 Business Premium with Copilot₹2,660₹3,192
Microsoft 365 Personal (home)₹6,899/year₹689
Microsoft 365 Family (home)₹8,199/year₹819
Microsoft 365 Premium (home)₹19,999/year₹1,999

The add-on needs a qualifying Microsoft 365 plan underneath it and covers organisations up to 300 users. In the US the same add-on lists at $21 per user per month on annual billing ($25.20 monthly), with the bundles at $23.50 and $32. Large companies buy the enterprise version, which Microsoft India lists at ₹2,495 per user per month paid yearly plus GST ($30 in the US on annual billing), or as part of the new Microsoft 365 E7 bundle at $99. Copilot Studio capacity costs $200 per month for a pack of 25,000 credits. There is also a Microsoft 365 Pro home plan at ₹9,999 a month (monthly billing only, 5 TB shared) for the heaviest individual users.

Three hidden costs matter. GST at 18% sits on top of every business price shown. Monthly billing costs 20% more than the annual rate (₹2,094 against ₹1,745 for the add-on). And the business bundles offer a one-month trial that needs a card and converts to paid automatically.

Microsoft Copilot vs ChatGPT for work: which fits your team

The copilot vs chatgpt question comes down to where your work already sits. Copilot's strength is context: it reads your Outlook, Teams, OneDrive and SharePoint without copy-pasting, it respects existing file permissions, and IT can manage it from the same admin centre as email. ChatGPT is the better general assistant for writing, research, coding help and custom GPTs, has a large plugin and app ecosystem, and connects to Google Drive as well as Microsoft tools. OpenAI also sells a low-cost Go tier, so check its India pricing page if budget is the main concern.

A simple rule: if more than half your team's day is in Microsoft 365, the comparison is not close, and Copilot makes more sense. If your team is mixed, uses Google Workspace, or mainly needs a writing and analysis tool, ChatGPT Business or Claude will usually give more for the money. Google Gemini is the natural pick for Workspace companies.

Privacy, company data and commercial use

For work accounts signed in with Microsoft Entra ID, Microsoft's documentation says prompts, responses and Graph data are not used to train foundation models, and they get the same contractual protection as Exchange email and SharePoint files. Copilot follows existing permissions, inherits sensitivity labels and supports audit logs. Microsoft also extends its Customer Copyright Commitment to business customers. One caveat: Anthropic models are currently excluded from the EU Data Boundary and in-country processing promises, so regulated firms should check before enabling them.

The consumer app is different. Microsoft's privacy FAQ says it may use consumer conversations to train models unless you opt out in settings, with exceptions for users under 18, signed-out users and Microsoft 365 Personal or Family subscribers using Copilot inside the Office apps. The consumer terms also say Copilot is for personal use only, so client work belongs on a business plan.

Where Copilot still falls short for Indian teams

  • The product naming is confusing, and buyers regularly pay for the wrong tier.
  • Results depend on how tidy your SharePoint and OneDrive permissions are. Messy permissions can surface files people should not see.
  • Free usage caps are not published, so planning for heavy use is guesswork.
  • Per-seat pricing adds up fast for a 50-person team, especially on monthly billing, which costs 20% more than paying yearly.
  • Removing the Copilot app from Windows 11 is possible but fiddly on managed devices.

How to get started with Microsoft Copilot

Start free: open copilot.microsoft.com or the mobile app, sign in with a Microsoft account, and test it on real tasks for a week. If your company already has Microsoft 365, ask IT to check that Microsoft 365 Copilot Chat is pinned for you. It is included and is safer for company data than the consumer app. For Excel, open your workbook, select the Copilot icon (Microsoft's support page currently places it in the lower-right corner of the window) and ask something like "show sales by region as a chart".

Before buying seats, run a one-month trial with five or six heavy users, then compare time saved against the per-seat cost. If you would rather not have Copilot on a Windows 11 PC, you can uninstall the app from the Start menu, remap the Copilot key in Settings, or have admins apply the "Remove Microsoft Copilot app" policy.

Microsoft Copilot FAQ

What is Microsoft Copilot used for?

Microsoft Copilot is used for drafting emails and documents, summarising long threads and meetings, analysing spreadsheets, answering questions with web sources and creating images. With a business licence it can also search your organisation's email, chats and files to answer work questions.

How much is Microsoft 365 Copilot in India?

Microsoft's Indian pricing page lists the Copilot Business add-on at ₹1,745 per user per month on annual billing (₹2,094 monthly), plus GST. Bundles start at ₹1,955 per user per month for Business Standard with Copilot. Home users can get Copilot through Microsoft 365 Personal at ₹689 a month.

Is Microsoft Copilot free?

Yes, the consumer Copilot app on web, Windows and mobile is free with a Microsoft account. Work users with eligible Microsoft 365 licences also get Microsoft 365 Copilot Chat at no extra cost. Copilot inside desktop Office apps with full work-data access requires a paid plan.

How do I use Copilot in Excel?

Open your workbook in Excel, select the Copilot icon (Microsoft's support page currently places it in the lower-right corner) and type a request in plain English, for example to add a column, highlight values or build a chart. Copilot inside Excel needs a Microsoft 365 plan that includes it, such as Personal, Family, Premium or a business licence with Copilot.

Is Microsoft Copilot safe for company data?

When staff sign in with work (Entra ID) accounts, Microsoft says prompts and responses are not used to train foundation models and are covered by its data protection addendum. Copilot respects existing file permissions, so clean up SharePoint access before rollout. Staff should avoid using the consumer app for client data.

What is the difference between Microsoft Copilot and ChatGPT?

Copilot is built into Microsoft 365 and can work with your Outlook, Teams and OneDrive content directly. ChatGPT is a standalone assistant with broader general features, custom GPTs and connectors for many services. Copilot suits Microsoft-centric teams, while ChatGPT suits mixed or Google-based setups.

Can I use Copilot in India without Microsoft 365?

Yes. The free Copilot app works in India on the web, Windows, macOS, Android and iOS with just a Microsoft account. You only need a Microsoft 365 subscription if you want Copilot inside Word, Excel, PowerPoint and Outlook.

How do I remove or disable Copilot in Windows 11?

Right-click the Copilot app in the Start menu and choose Uninstall, or remap the Copilot key in Settings to open another app. On managed business and school PCs, admins can enable the Remove Microsoft Copilot app policy, added in 2026. That policy only acts under specific conditions, for example when the app was not installed by the user and has not been opened recently.

What are the best alternatives to Microsoft Copilot?

ChatGPT is the most common alternative for general work, and Google Gemini is the natural pick for Google Workspace teams. Claude is strong for long documents and writing. Perplexity suits research with citations.

Who should use Microsoft 365 Copilot?

Microsoft 365 Copilot fits organisations whose staff spend most of their day in Outlook, Teams, Word and Excel and that have tidy file permissions. It is less suitable for very small teams on tight budgets or companies that run on Google Workspace.
