Our verdict

4.0out of 5

Otter.ai is a capable note-taker for English meetings, and annual Pro at $8.33 a month is fair value for anyone hitting the free plan's 30-minute cap. Indian teams that speak Hindi in meetings, or that worry about consent and training on recordings, should test Fireflies or Gemini in Meet first.

What is Otter.ai?

Otter.ai is an AI note-taker that records meetings, writes a live transcript and turns the conversation into a summary with action items. It comes from Otter.ai, Inc. of Mountain View, California, founded in 2016 as AISense by Sam Liang and Yun Fu. This review covers otter.ai free plan limits and pro pricing in detail, then tests the paid tiers against Fireflies.ai and the Gemini notes built into Google Meet. Everything below comes from Otter's pricing page, its help centre and its privacy policy, all checked on 17 October 2026.

Short version for busy readers: Basic is free but capped at 300 minutes a month and 30 minutes per conversation. Pro lifts that to 1,200 minutes and 90-minute meetings. Business removes the monthly meeting cap.

What Otter.ai is used for

Most people use it for three jobs. The first is meeting notes: a bot called Otter Notetaker (earlier sold as OtterPilot, with the older Otter Assistant name still floating around in guides) joins your Zoom, Google Meet or Microsoft Teams call and records it. The second is live transcription of lectures, interviews and in-person conversations through the phone app. The third is audio import, where you upload a recorded file and get text back.

After a call, Otter produces a written summary, a list of action items and a searchable transcript with speaker identification. You can then ask questions in Otter AI Chat (still widely called Otter Chat), such as "what did the client say about the deadline?", and it answers from the transcript. The homepage now brands the whole package as the Otter Meeting Agent, with add-ons like pre-call briefings and role-based agents for sales, recruiting and education teams.

It runs in the browser, on Android and iOS (the Play Store listing shows 5M+ downloads), as a Mac and Windows desktop app and as a Chrome extension. That extension, version 3.11.0 when checked, has around 300,000 users and can capture Meet and Teams audio without adding a bot to the call.

Who should consider it

Otter suits people who sit through many English-language calls each week: sales reps, consultants, recruiters, journalists, researchers and students. Agencies that run client calls on Zoom get the most out of the auto-join feature. If your meetings mostly happen in Hindi, Tamil or another Indian language, read the language section first, because that is the biggest gap for Indian buyers.

Otter.ai free plan limits and pro pricing explained

Prices are in US dollars. The pricing page did not list rupee prices when checked, so your card will be charged in USD plus any bank conversion fee and GST.

A few details matter more than the headline numbers. Basic lets the bot join only one meeting at a time, Pro two and Business three. Free users get 20 AI Chat queries a month, with a ceiling of 3 per conversation, and only the 25 most recent conversations stay in the account. The three free imports are lifetime, not monthly, so Basic is really a trial for anyone who wants to transcribe recorded files. Pro adds team vocabulary (100 names and 100 other terms), taggable speakers, Salesforce, HubSpot and Zapier links, 50 AI Chat queries a month and 15 custom meeting templates. Business adds activity logs, usage analytics, 200 AI Chat queries and up to 800 names plus 800 other terms per team. One wrinkle: the homepage describes Business as 6,000 monthly transcription minutes, while the pricing table applies that figure only to imported files and calls meeting minutes unlimited, so heavy users should confirm with Otter before buying.

Annual Pro works out to about $100 a year, roughly half the monthly rate. Students and teachers with a .edu email get 20% off Pro. Otter's homepage mentions a 7-day free trial on Business. Enterprise brings SSO and SCIM (both need a minimum of 100 licensed users, per the pricing table), domain capture, the Otter API and webhooks, and HIPAA compliance as an add-on.

How many minutes Basic really gives you

300 minutes sounds generous until you hit the 30-minute cut-off. A weekly one-hour client call would be split or truncated, and ten half-hour stand-ups use the whole month. For a freelancer with two or three short calls a week, Basic is workable. Anyone with longer meetings will feel pushed toward Pro within days.

Otter.ai meeting assistant Zoom setup

Making Otter join a Zoom meeting takes two parts, according to the help centre. On the Zoom side, the host opens Settings, then Recording, turns on "Record to computer files" and allows external meeting participants. Ticking "Auto approve their permission request" saves you from approving the bot in every call. On the Otter side, open Integrations, click Add next to Zoom and allow access.

For automatic joining, connect a Google or Microsoft calendar under Apps. Then, in Account Settings and Meetings, pick a default rule: all meetings with a video link, only meetings you host, external meetings, internal meetings, or meetings you select by hand. The same calendar method works for Google Meet notes and Teams calls. The Zoom integration also offers live notes inside the Zoom window.

If Otter is not recording a meeting, check these first:

  • The Zoom host has "Record to computer files" switched on. Without it, Notetaker cannot join or record.
  • Someone with host rights approved the recording pop-up. Co-hosts do not see it.
  • The call is not on a Zoom Room, which the help article says is unsupported.
  • The calendar event carries a valid Zoom, Meet or Teams link, and the event is toggled on in your Otter calendar.
  • You have not hit your monthly minutes or concurrent meeting limit.

Otter.ai transcription accuracy and language support

Otter does not publish a measured accuracy figure. Its homepage quotes customers, not test results. Accuracy depends on microphone quality, crosstalk and accents, and custom vocabulary helps with product names, client names and jargon.

The pricing page lists six languages for AI transcription: English, Spanish, French, German, Japanese and Chinese. Hindi is not on that list, and neither is any other Indian language. Otter does not mention Indian English as a separate option either, so for Indian-accented speakers you get the general English model. A sensible test is to run a few real recorded calls through the free plan before paying.

Privacy, consent and the 2025 lawsuit

This section deserves attention before you let a bot into client calls. Otter's privacy policy (effective 16 June 2026) says it trains its own AI on de-identified audio and on transcripts, which may contain personal information. It names AWS, based in the United States, as its cloud provider. The policy gives no fixed retention period and describes no dedicated opt-out from training.

In August 2025, Justin Brewer filed a proposed class action against Otter.ai in the US District Court for the Northern District of California, as NPR reported. The suit alleges that Notetaker could join and record meetings without consent from every participant and that recordings were used for training. NPR noted that Otter's privacy policy at the time described asking for explicit permission before training on transcripts and de-identifying audio. The suits were later combined as In re Otter.AI Privacy Litigation. On 13 August 2026, Judge Eumi K. Lee granted Otter's motion to dismiss in part: the computer-fraud claims and some privacy claims were dismissed with leave to amend, while claims under the federal wiretap law, California's Invasion of Privacy Act and Illinois's biometric privacy law were allowed to proceed. Legal publisher Mealey's reported the same outcome later that month. These remain allegations, not findings, and the case was ongoing when checked.

Practical advice: tell participants at the start of a call that it is being recorded, set auto-join to meetings you host or select by hand, and avoid using the free tier for board meetings, legal matters or patient data. Regulated teams should look at Enterprise with the HIPAA add-on and SSO.

Otter.ai vs Fireflies

Fireflies.ai is the closest rival. Its free plan includes 400 minutes of storage per team and transcription in 100+ languages, which matters if your team speaks Hindi or switches between languages. Paid Fireflies plans cost $10 per seat a month on Pro and $19 on Business when billed annually, and its Business tier adds a multi-language mode. Monthly billing costs more.

Otter's edge is its live transcript during the call, the mature Zoom integration and the polished mobile app for in-person recording. Fireflies is the stronger pick for multilingual teams and for wiring notes into many apps. For an English-only consultant, annual Otter Pro at $8.33 is cheaper than Fireflies Pro. For a Mumbai agency running Hinglish calls, Fireflies is the safer test.

Otter.ai alternatives, free and paid

Google Meet's own Gemini notes are the obvious option for Workspace users. Gemini in Meet comes with Business Standard ($14 per user a month on annual billing, $16.80 flexible) and higher plans, not with Business Starter or free personal accounts. Google AI Pro and Ultra subscribers also get "Take notes for me", according to Google's Meet help. Its "Take notes for me" feature writes a summary after the call and emails it. For anyone already on Business Standard, that makes a separate tool hard to justify for Meet-only calls.

  • Fireflies.ai Free: the best free alternative for non-English calls.
  • Gemini in Google Meet: no extra bot, notes land in your Google account, but Meet only.
  • Otter Basic itself: fine for short English calls and trying the product.

Otter remains the better choice if your meetings are spread across Zoom, Teams and Meet, or if you need a phone recorder for interviews.

Limitations to weigh before paying

  • No Hindi or other Indian language transcription.
  • No INR pricing; USD billing only.
  • Pro's 90-minute cap still cuts off long workshops.
  • Training on de-identified data with no clear opt-out in the policy.
  • SSO only on Enterprise, with a 100-user minimum.

How to get started

Sign up on otter.ai with a Google or Microsoft account so your calendar connects in one step. Set the default join rule to "meetings I manually select" for the first week. Record two or three real calls, check the summary and speaker names, and add client names to custom vocabulary. If you keep running into the 30-minute limit, move to annual Pro. Teams that need admin controls or meetings over 90 minutes should start the Business trial instead.

Otter.ai FAQ

What is Otter.ai used for?

Otter.ai records and transcribes meetings, lectures and interviews, then writes summaries and action items. Its Notetaker bot joins Zoom, Google Meet and Microsoft Teams calls, and the mobile app records in-person conversations. You can also upload audio files for transcription.

How much does Otter.ai Pro cost per month?

Otter's pricing page lists Pro at $16.99 per user a month on monthly billing, or $8.33 per user a month on annual billing. Prices are in USD; no rupee pricing was listed when checked. Students and teachers with a .edu email get 20% off.

How many minutes does Otter.ai free give?

The Basic plan gives 300 meeting and recording minutes per user each month. Each conversation is capped at 30 minutes, and you get only 3 file imports for the lifetime of the account.

How do I make Otter join a Zoom meeting?

Connect Zoom under Integrations in Otter, and have the Zoom host turn on 'Record to computer files' in Zoom's recording settings. Connect your Google or Microsoft calendar and choose an auto-join rule in Account Settings, Meetings. Otter Notetaker will then join calendar events that carry a Zoom link.

Is Otter.ai safe for confidential meetings?

Otter's privacy policy says it trains its AI on de-identified audio and on transcripts, and data sits with AWS in the US. A 2025 class action alleges recording without all participants' consent; in August 2026 a federal judge let some claims proceed and dismissed others, and the case was ongoing when checked. For sensitive calls, announce recording, limit auto-join, and consider Enterprise with SSO and the HIPAA add-on.

Otter.ai vs Fireflies.ai: which is better?

Otter is better for English meetings with live transcripts and in-person recording on mobile. Fireflies supports 100+ languages on its free plan and is better for multilingual teams. Annual Otter Pro ($8.33) is slightly cheaper than annual Fireflies Pro ($10).

Does Otter.ai support Hindi or Indian English?

No. The pricing page lists six transcription languages: English, Spanish, French, German, Japanese and Chinese. Indian English is not offered as a separate option, so Indian speakers use the general English model.

What are the best Otter.ai alternatives?

Fireflies.ai is the main rival and has a free plan with wide language support. Google Workspace users on Business Standard or higher get Gemini in Meet, including 'Take notes for me', at no extra cost. Otter's own free Basic plan also works for short English calls.

Otter.ai not recording a meeting: how do I fix it?

Check that the Zoom host has 'Record to computer files' enabled and has approved the recording pop-up, since co-hosts cannot approve it. Zoom Rooms meetings are not supported. Also confirm the calendar event has a valid meeting link, is toggled on in Otter, and that you have minutes left.

Who is Otter.ai best for?

It suits people with many English-language calls: sales teams, consultants, recruiters, journalists, researchers and students. Agencies on Zoom benefit most from calendar auto-join. Teams that work in Indian languages should look at alternatives.
