Our verdict
OneDrive is the natural cloud drive for Windows users and Microsoft 365 households, with good restore tools and fair rupee pricing on the Family plan. The free 5 GB is tight, and anyone needing more than 100 GB must also pay for Office and Copilot.
How this score works: the DevMixa score is research-based — we compare official pricing, features, documentation, support options, security and data policies, and public user feedback against other tools in the same category. It is not a hands-on test; tools we test ourselves are marked “Tested”.
What is OneDrive?
OneDrive is Microsoft's cloud drive, and for most Windows users it is already sitting in the taskbar before they have made any decision about it. The real question is the money one: the onedrive 5gb free storage vs 1tb plan choice, plus the 100 GB tier in between. Below: what each tier gets, the rupee prices, how it compares with Google Drive and Dropbox, and where it falls short.
What OneDrive is and who should use it
At its simplest, OneDrive keeps a folder on your PC in sync with Microsoft's servers, so the same files show up on your phone, a Mac or any browser. Microsoft lists apps for Windows, macOS, Android and iOS, plus the web at onedrive.com. Sign in with a free Microsoft account and you get 5 GB of space, photo backup from your phone and the free web versions of Word, Excel and PowerPoint.
It suits three kinds of people. Windows laptop owners who want their Desktop and Documents backed up without thinking about it. Families who already pay for Microsoft 365 and want each member to have their own space. And small companies on Microsoft 365 Business, where OneDrive for Business is the personal file area for every employee and works alongside SharePoint and Teams.
Key features in practice
- Files On-Demand: on Windows, files can be set as online-only (they take no disk space until opened), locally available, or "Always keep on this device".
- Folder backup: Microsoft's backup option (IT admins call it known folder move) syncs Desktop, Documents and Pictures (plus Music and Videos on Windows) to the cloud, so a stolen or dead laptop does not take your work with it.
- Personal Vault: a locked folder that needs a second verification step to open, covered in detail below.
- Version history and restore: earlier versions of Office files can be brought back, and Microsoft 365 subscribers can roll the whole drive back to any point in the last 30 days.
- Sharing controls: links can be view-only or editable, and Microsoft's page lists expiring and password-protected links as a subscriber benefit.
- Offline files: on mobile and desktop you can mark files for offline use and edit them on a flight; changes upload when you reconnect.
Microsoft's support article on limits says a single file can be up to 250 GB, and the same cap applies to sync and to files inside a zip. For best performance, Microsoft suggests syncing no more than 300,000 items in total. Some characters, such as * : ? and |, are not allowed in names.
OneDrive storage price in India
Microsoft sells consumer plans in rupees on its India site, with monthly or yearly billing. These are the figures on the OneDrive plan comparison page.
| Plan | Monthly | Yearly | Storage | Users |
|---|---|---|---|---|
| Free | ₹0 | ₹0 | 5 GB | 1 |
| Microsoft 365 Basic | ₹149 | ₹1,499 | 100 GB | 1 |
| Microsoft 365 Personal | ₹689 | ₹6,899 | 1 TB | 1 |
| Microsoft 365 Family | ₹819 | ₹8,199 | 2 TB shared pool | Up to 6 |
| Microsoft 365 Premium | ₹1,999 | ₹19,999 | 2 TB shared pool | Up to 6 |
Family and Premium storage changed in October 2026. Microsoft's support article on the change says new and upgraded subscriptions from 8 October 2026 get one 2 TB pool shared by up to six people, replacing the old 1 TB per person. Existing subscribers keep 1 TB each until their first renewal on or after 2 May 2027. Files stay private to each member. Some product pages still show the old wording. Extra Microsoft 365 storage can be bought on top, up to 10 TB in total.
Yearly billing works out to roughly two months free on every tier. Basic is the only storage-only plan; it adds ad-free Outlook and ransomware protection but no desktop Office apps. Personal and above include desktop Word, Excel, PowerPoint, Outlook and OneNote on up to five devices at once.
Copilot is part of the consumer story now. Personal and Family get higher usage limits for Copilot features in the Office apps, though on Family only the subscription owner gets the AI features. Premium adds the most usage and access to advanced Copilot features and agents. Basic gets only the free version of Copilot Chat. If you do not want AI at all, that matters, because you cannot buy 1 TB on its own in India; it comes bundled with Office and Copilot.
OneDrive for Business plans
Business pricing is per user, billed yearly, with GST extra. Every plan on Microsoft's India business page includes 1 TB of OneDrive storage per user.
- Microsoft 365 Business Basic: ₹170 per user per month (₹130 without Teams). Web and mobile Office apps, business email, Teams.
- Microsoft 365 Apps for business: ₹830 per user per month, desktop Office apps without email or Teams.
- Microsoft 365 Business Standard with Copilot: ₹1,955 per user per month (₹1,690 without Teams), with desktop apps and Copilot.
For a five-person agency, Business Basic comes to ₹850 a month before tax, which buys each person 1 TB of OneDrive plus email on your own domain. Admins also get SharePoint sync for team libraries, so shared folders appear in File Explorer next to personal files.
OneDrive 5GB free storage vs 1TB plan: which one do you need?
Five gigabytes fills up fast. A year of phone photos, or one Windows Desktop backup with a few videos, can cross it. Once you are over, OneDrive stops syncing new files, and that is a bad state for a backup tool. The free tier is fine for documents only, or as a place to receive shared files.
The 100 GB Basic plan at ₹1,499 a year is the sensible middle step for one person who mainly stores photos and documents. The 1 TB Personal plan only pays off if you also want desktop Office, or your files genuinely run past 100 GB. Family is still the best deal for a household: ₹8,199 a year split six ways is under ₹1,400 each for Office, though on new plans everyone draws from the same 2 TB.
There are free-tier gaps beyond space. Ransomware detection and whole-drive restore need a Microsoft 365 subscription, and Personal Vault on a free account holds only three files, while Basic and the higher plans allow as many as your storage permits.
How to use OneDrive Personal Vault
The vault is a special folder inside your personal OneDrive. To set it up on the web, go to Settings, then Personal Vault, choose Enable and confirm with two-factor verification. In the mobile app, tap the vault the first time you see it, select Get started and pick a verification method: a code by text or email, fingerprint, face, PIN or the Microsoft Authenticator app. Each device needs its own setup.
It locks itself after 20 minutes of inactivity on the web and 3 minutes on mobile by default, and both timings can be changed. Use it for scans of Aadhaar, PAN, passport and insurance papers. It is for personal accounts only, so work accounts do not get it.
Is OneDrive safe for sensitive files?
For most people, yes, with sensible habits. Microsoft encrypts data and offers ransomware recovery for subscribers: if OneDrive detects an attack, it suggests a restore date and you can roll the drive back within 30 days. Files deleted for good from the Recycle Bin cannot come back, so do not empty it in a panic. Turn on two-step verification for your Microsoft account; a weak password is the biggest real risk. For business tenants, Microsoft 365 admin controls, retention and sharing policies apply.
OneDrive vs Google Drive vs Dropbox
| Point | OneDrive | Google Drive | Dropbox |
|---|---|---|---|
| Free space | 5 GB | 15 GB | 2 GB |
| Entry paid tier | 100 GB, ₹149/mo | 100 GB, $1.99/mo | Plus 2 TB, from $9.99/mo |
| Office apps | Desktop Office on Personal and up | Docs, Sheets, Slides | None of its own |
| Built into | Windows | Android | Neither |
Google gives three times the free space, and Google One's plans page lists 2 TB under Google AI Plus at $9.99 a month (it showed dollar prices, so check it for rupee rates). If your life runs on Gmail and an Android phone, Drive is the easier choice. OneDrive wins for Windows users because the sync client is part of the operating system, Files On-Demand is mature, and the 1 TB plans include desktop Office. Dropbox has the smallest free tier but is popular with designers and agencies; Plus keeps deleted files for 30 days, and team plans start at $15 per user per month. iCloud is the obvious alternative for Apple households.
OneDrive not syncing? A fix list
"Sync pending" that never finishes is the most common complaint. Work through these in order:
- Click the cloud icon in the taskbar and read the status. A red cross or "storage full" message tells you exactly what is wrong.
- Check your space. If you are over 5 GB or your plan limit, sync stops until you free space or upgrade.
- Look for blocked names or sizes: banned characters, files over 250 GB, or very long paths.
- Pause syncing, wait a minute, then resume. Restarting the PC clears many stuck uploads.
- As a last step, Microsoft's "Reset OneDrive" support article walks through resetting the sync app, after which your folders sync again from scratch.
If you want to stop OneDrive from backing up your Desktop, open OneDrive settings, go to Sync and backup, choose Manage backup and switch off the Desktop toggle. You will be asked whether to keep the files only on the PC or only in OneDrive, so choose carefully. Download any online-only files first, or the move can fail.
Limitations to know before paying
- No 1 TB storage-only plan in India; above 100 GB you pay for Office and Copilot too.
- Free tier is small and misses ransomware recovery.
- Family and Premium now share 2 TB across all members on new plans, and AI features belong to the owner only.
- Linux has no official desktop client listed by Microsoft.
How to get started
Sign in on Windows with a Microsoft account, open OneDrive from the taskbar and choose which folders to back up. Install the phone app and turn on camera upload. Watch usage for a month. If you stay under 5 GB, stay free; if you are heading past it, Basic at ₹149 a month is the next step, and Family is the move once two or more people in the house need space.
Is OneDrive worth it for Windows users? For most, yes. The sync client is built in, the restore tools are strong, and the Family plan is fair value in rupees. Buy the tier your files need, not the biggest one on the page.

OneDrive FAQ
What is OneDrive and how do you use it?
OneDrive is Microsoft's cloud storage service. You sign in with a Microsoft account, pick folders on your PC to sync, and the same files appear on your phone, other computers and onedrive.com. Apps are available for Windows, macOS, Android and iOS.
How much free storage does OneDrive have?
A free Microsoft account includes 5 GB of OneDrive storage. That covers files, photos and videos together. Once you go over it, new files stop syncing until you free space or upgrade.
How much does extra OneDrive storage cost in India?
Microsoft 365 Basic gives 100 GB for ₹149 a month or ₹1,499 a year. Personal gives 1 TB for ₹689 a month or ₹6,899 a year. Family costs ₹819 a month or ₹8,199 a year for up to six people, who share one 2 TB pool on plans bought or upgraded since 8 October 2026.
How do you set up Personal Vault in OneDrive?
On the web, open Settings, choose Personal Vault and select Enable, then confirm with two-factor verification. On mobile, tap the vault and select Get started, then choose a code, fingerprint, face, PIN or the Authenticator app. Each device is set up separately.
Is OneDrive safe for sensitive files?
It is reasonably safe if you turn on two-step verification for your Microsoft account. Personal Vault adds an extra lock for documents like ID scans, and subscribers get ransomware detection with a 30-day restore. Files permanently deleted from the Recycle Bin cannot be recovered.
OneDrive vs Google Drive: which is better?
Google Drive gives 15 GB free against OneDrive's 5 GB and fits Gmail and Android users better. OneDrive is the better pick on Windows because sync is built in and the 1 TB plans include desktop Office apps. Choose based on which ecosystem you already use.
Can I stop OneDrive from backing up my Desktop?
Yes. Open OneDrive settings, go to Sync and backup, select Manage backup and switch off the Desktop toggle. You then choose whether the files stay only on your PC or only in OneDrive, so download any online-only files first.
What are the best OneDrive alternatives?
Google Drive is the main alternative, with 15 GB free and a 100 GB plan listed at $1.99 a month. Dropbox suits agencies and designers, with 2 GB free and 2 TB on Plus from $9.99 a month. iCloud is the natural option for Apple households.
How do you fix OneDrive sync pending forever?
Check the taskbar cloud icon for errors, confirm you have free storage, and look for blocked file names or files over 250 GB. Pause and resume sync or restart the PC. If nothing works, Microsoft's Reset OneDrive article explains how to reset the sync app.
Is OneDrive worth it for Windows users?
For most Windows users, yes. The sync client is part of Windows, Files On-Demand saves laptop disk space, and paid plans add ransomware recovery. Start free and move to the 100 GB Basic plan or a Family plan only when your files need it.
