Our verdict
Microsoft Teams is the sensible default for Indian businesses already on Microsoft 365, since Business Basic at ₹170 per user covers chat, 300-person meetings, email and storage. Zoom is the better pick for client-facing meetings with built-in AI notes, and Slack for messaging-first tech teams.
How this score works: the DevMixa score is research-based — we compare official pricing, features, documentation, support options, security and data policies, and public user feedback against other tools in the same category. It is not a hands-on test; tools we test ourselves are marked “Tested”.
What is Microsoft Teams?
Microsoft Teams is Microsoft's chat, calling and video meeting app, and for most Indian companies already paying for Microsoft 365 it is the default place where work conversations happen. This review answers the question buyers search most, microsoft teams vs zoom for meetings, and also covers pricing in rupees, the free plan's real limits, Slack as an alternative, and the add-ons (Premium, Copilot, Phone) that quietly push up the bill.
What Microsoft Teams is and who it suits
Teams combines four things in one app: persistent group chat, teams channels for project or department conversations, video meetings and events, and an optional cloud phone system. Files shared in chats sit in OneDrive, files shared in channels sit in SharePoint, and Word, Excel and PowerPoint documents open inside the app. That tight Microsoft 365 integration is the main reason to pick it. Microsoft made Teams generally available to Office 365 customers in March 2017.
It suits SMEs, agencies and enterprises that already use Outlook and Office, schools on Microsoft licences, and IT teams who want one admin centre for mail, files and meetings. It suits freelancers less. They rarely need channels and usually just want a quick meeting link that clients can open without fuss.
Apps are available for Windows, macOS, Android, iPhone and iPad, plus the browser at teams.microsoft.com. Linux users get the progressive web app, not a native client. Microsoft's minimum spec for the desktop app is a dual-core processor, 4 GB RAM and Windows 10 (build 19041 or later) or one of the three latest macOS versions.
Key features in practice
- Teams meetings: up to 300 interactive participants on Business Basic, Business Standard, Business Premium and Teams Essentials, and up to 1,000 on enterprise plans such as Microsoft 365 E3 and E5. Meetings can run for 30 hours.
- Screen sharing and PowerPoint Live: share a full screen or a single window, include computer sound, and pass slide control to a colleague.
- Teams breakout rooms: split a meeting into smaller groups, supported in meetings with up to 1,000 attendees.
- Together mode: places everyone's video in a shared virtual scene, which some trainers prefer to the usual grid. Microsoft Support says it needs 5 to 49 people with cameras on.
- Teams webinars and town halls: registration pages, branded events and large broadcasts. Town halls start at a 10,000 attendee capacity, and add-on capacity packs extend events to 100,000.
- Teams Phone: a cloud PBX that gives users a phone number, call queues and voicemail inside the same app.
- Recording and transcription: recordings save in chunks of up to 4 hours or 1.5 GB, then restart automatically.
One change matters if you run large broadcasts. Teams live events were retired on 30 June 2026, according to Microsoft Support. Events booked before that date keep working until 28 February 2027, but new ones should be set up as town halls.
Microsoft Teams free vs paid: the real limits
Is Microsoft Teams free? Yes, for personal and small group use. The free version allows group calls of up to 60 minutes with up to 100 people, 1:1 calls of up to 30 hours, and 5 GB of cloud storage per user. It includes chat, communities, file sharing, polls and encryption for calls and files.
Paid business plans lift meetings to 30 hours and 300 participants and add admin controls and much larger storage. Two catches are easy to miss. First, Microsoft's FAQ says every user in an organisation has to move to paid together. Second, once a free account converts to paid, it cannot go back to free on the same email address.
Teams Essentials price in India and the Microsoft 365 plans
All business prices below come from Microsoft's India pages, are per user per month on an annual commitment, and exclude GST (18% is added at checkout). US dollar prices are from the US version of the same page.
| Plan | India price | US price | What you get |
|---|---|---|---|
| Teams (free) | ₹0 | $0 | 60-minute group calls, 100 people, 5 GB |
| Teams Essentials | ₹115 | $4.00 | Teams only, 300 people, 30 hours, 10 GB |
| Microsoft 365 Business Basic | ₹170 | $7.00 | Teams, Exchange mail, 1 TB OneDrive, web and mobile Office |
| Business Basic (no Teams) | ₹130 | $5.40 | Same suite without Teams |
| Business Standard | ₹860 | $14.00 | Desktop Office apps, 1 TB; ₹665 without Teams |
| Business Standard with Copilot | ₹1,955 | $23.50 | Desktop Office apps, Copilot, 1 TB |
| Business Standard with Copilot (no Teams) | ₹1,690 | $20.30 | Same suite without Teams |
| Business Premium | ₹1,830 | See US page | Adds advanced security; ₹1,565 without Teams |
| Business Premium with Copilot | ₹2,660 | See US page | Adds advanced security; ₹2,395 without Teams |
| Teams Premium (add-on) | ₹830 | $10.00 | Advanced meeting protection, branding, recap |
| Teams Phone Standard (add-on) | ₹830 | $10.00 | Cloud phone system, needs a Teams licence |
So how much does Microsoft Teams cost in India? The cheapest paid route is teams essentials at ₹115 per user per month billed yearly, roughly ₹1,628 a year per person once GST is added. For most small businesses, though, Business Basic at ₹170 is the smarter buy, because it adds a professional email address and 1 TB of storage for only ₹55 more.
About the unbundling. Microsoft changed its licensing in the EEA and Switzerland in 2023, then announced on 1 April 2024 that suites without Teams would be sold worldwide. The India price list now shows both editions side by side, so Indian buyers can pick either. Dropping Teams saves ₹40 a month on Business Basic, ₹195 on plain Business Standard, ₹265 on plain Business Premium and ₹265 on the Copilot editions. That only makes sense if your company has fully moved to Zoom or Slack.
Teams Copilot and AI costs
Copilot Chat, a web-grounded assistant, comes at no extra cost with eligible Microsoft 365 business plans. Copilot inside meetings is a different product. It can summarise who said what during a call, catch up late joiners and draft a follow-up email, but it needs the meeting to be transcribed and a Microsoft 365 Copilot licence (intelligent recap is also available through Teams Premium). The Copilot Business add-on lists at ₹1,745 per user per month on annual billing, or ₹2,094 on monthly billing. Microsoft runs time-limited introductory offers on Copilot from time to time, so check the pricing page before you buy.
Microsoft Teams Premium features
Teams Premium (₹830 or $10 per user per month, yearly) is aimed at companies with confidential or customer-facing calls. It adds watermarks on shared screens and video, control over who can record, end-to-end encryption for meetings, branded lobbies and backgrounds, live translated captions, and intelligent recap with AI notes and action items. Automatic protection through sensitivity labels needs Microsoft 365 E5 as well. There is a one-month trial, but it asks for a card and turns into a 12-month subscription unless you cancel.
Most small teams can skip Premium. It earns its cost for law firms, banks, HR teams and sales teams who run branded client webinars.
Microsoft Teams vs Zoom for meetings: which is better?
Zoom's official pricing page lists a free Basic plan with 40-minute meetings for up to 100 people, Pro at $16.99 per user per month ($14.16 billed yearly) with 100 participants, and Business at $21.99 ($18.33 yearly) with 300 participants. Paid Zoom plans include unlimited AI meeting summaries.
| Point | Microsoft Teams | Zoom Workplace |
|---|---|---|
| Free meeting length | 60 minutes (group) | 40 minutes |
| Free participants | 100 | 100 |
| Cheapest paid plan | Essentials, $4 (₹115) yearly | Pro, $14.16 yearly |
| 300-person meetings | Essentials and Business Basic | Business plan |
| AI meeting notes | Copilot or Premium add-on | Included on paid plans |
Teams vs Zoom, which is better? Teams wins on price and on anything document-heavy, because the chat, files and calendar already live in Microsoft 365. Zoom is a meetings-first product, and its paid plans include AI summaries without an extra licence. If most of your meetings are with clients on varied setups, Zoom is easier. If most are internal, Teams is cheaper and better connected.
Against Google Meet, the logic is similar. Google Workspace Business Starter costs $7 per user per month and allows 100 participants for up to 24 hours, so Meet makes sense for companies already on Gmail and Drive, not as a reason to switch suites.
Microsoft Teams vs Slack
Slack is the better pure messaging tool. Its search, threads and app directory are cleaner, and developers tend to prefer it. But Slack's free plan hides messages older than 90 days, caps you at 10 apps and limits huddles to two people. Slack Pro costs $8.75 per user per month ($7.25 billed yearly), close to double the price of Teams Essentials, and has no Office suite attached. Teams gives you stronger meetings, calling and file storage for less. Slack suits tech teams that live in integrations. Teams suits companies that live in Office documents.
Security, privacy and data
Is Microsoft Teams secure? It encrypts chats, calls, meetings and files, and business plans are managed from the Microsoft 365 admin centre. Teams Premium adds end-to-end encryption for sensitive meetings. On AI, Microsoft's Copilot privacy documentation says prompts, responses and data pulled from Microsoft Graph are not used to train the foundation models behind Microsoft 365 Copilot. The free version is pitched mainly at personal use, so client work is better kept on a paid plan with admin controls.
Limitations and why Teams can feel slow
- The interface is busy. New users often confuse chats, channels and teams.
- Buying is confusing, with Essentials, Business, Premium, Phone and Copilot sold as separate pieces.
- Prices need an annual commitment and GST on top.
- Events above 10,000 attendees need paid capacity packs.
Why is Microsoft Teams so slow on some laptops? Usually it is a 4 GB RAM machine running many tabs, the old "classic" client, or a bloated cache. Microsoft's requirements page claims the current client is up to twice as fast and uses half the memory of earlier versions, so updating is the first fix. Clearing the cache, updating WebView2 on Windows and trimming the number of open chats usually help too.
How to get started
- Download the app or open Teams on the web, sign in with a Microsoft account, and test the free plan with a few colleagues.
- To share screen in Microsoft Teams, select Share in the meeting controls, pick a screen or window, and switch on Include sound if you play video. On a Mac, allow screen recording in Privacy and Security the first time.
- When meetings regularly hit the 60-minute cap, move to Essentials, or to Business Basic if you also want company email.
- Add Premium, Phone or Copilot only for the people who need them.
For best Microsoft Teams alternatives, look at Zoom Workplace for client meetings, Google Meet for Google Workspace companies and Slack for messaging-first tech teams.

Microsoft Teams FAQ
Is Microsoft Teams free?
Yes. The free version of Teams allows group calls and meetings of up to 60 minutes with up to 100 people, 1:1 calls of up to 30 hours and 5 GB of cloud storage per user. Microsoft aims it mainly at personal use, though small businesses can use it too.
How much does Microsoft Teams cost in India?
Teams Essentials costs ₹115 per user per month on an annual plan, and Microsoft 365 Business Basic with Teams costs ₹170. Plain Business Standard is ₹860 per user per month, and the edition with Copilot is ₹1,955. GST is added on top of all these prices.
What is the time limit on Teams free meetings?
Group meetings on the free plan end after 60 minutes. One-to-one calls between Teams users can run for up to 30 hours. Paid business plans allow 30-hour meetings with up to 300 people.
How do you share screen in Microsoft Teams?
Select Share in the meeting controls, then choose your whole screen, a single window or a PowerPoint file. Turn on Include sound if you are playing a video. On a Mac you must allow Teams to record the screen in Privacy and Security settings the first time.
Is Microsoft Teams secure?
Teams encrypts chats, calls, meetings and files, and business plans are managed centrally from the Microsoft 365 admin centre. Teams Premium adds end-to-end encryption for meetings, watermarking and control over who can record. Microsoft says Copilot prompts and responses are not used to train its foundation models.
Teams vs Zoom: which is better?
Teams is cheaper and works better for internal meetings in companies that use Microsoft 365, with paid plans from $4 (₹115) per user per month. Zoom is meetings-first and includes AI summaries on paid plans, which start at $14.16 per user per month billed yearly. Pick Zoom for client-heavy meetings and Teams for internal work.
Teams vs Slack: which should you choose?
Slack is the stronger messaging and integrations tool, but its free plan hides messages older than 90 days and Pro costs $8.75 per user per month ($7.25 billed yearly). Teams costs less and includes stronger meetings, calling and Office file storage. Developer teams often prefer Slack, while document-heavy companies prefer Teams.
Teams vs Google Meet: which is better?
Google Meet comes with Google Workspace, where the Business Starter plan costs $7 per user per month and allows 100 participants for 24 hours. Teams gives 300 participants and 30-hour meetings from Teams Essentials. The better choice usually follows the suite your company already uses.
What are the best Microsoft Teams alternatives?
Zoom Workplace is the main alternative for video meetings, Google Meet suits companies on Google Workspace, and Slack is the main alternative for team chat. Each has a free plan, so test them with your own team first.
Why is Microsoft Teams so slow?
Slowness usually comes from low RAM (Microsoft's minimum is 4 GB), the older classic client, or a large cache. Microsoft claims the current Teams client is up to twice as fast and uses half the memory of earlier versions. Updating the app, clearing the cache and updating WebView2 on Windows usually help.
